Fixed costs versus costs that move with bookings

Fixed costs are paid whether or not the property is booked: property tax, insurance, mortgage interest, internet, software subscriptions, and often utilities at a base level. Variable costs rise with occupancy: cleaning, laundry, consumables, platform fees, and wear and tear.

Separating the two tells you how much a slow month hurts. A property with high fixed costs has a higher break-even occupancy.

The usual line items

Platform and payment fees, cleaning and turnover, supplies, utilities, internet and smart-home tools, lawn or snow service, pest control, repairs and maintenance, furniture replacement, permits and licenses, lodging taxes where you pay them, insurance, and property management if you use it. Management fees are typically a percentage of revenue, so they move with bookings.

The ones people forget

Capital reserves for big items like roofs and HVAC, furnishing replacement cycles, vacancy months, permit renewals, and your own time. If you self-manage, price your hours honestly even if you do not pay yourself, because they are a real cost if you ever hire it out.

Use a percentage as a check, not a rule

Rules of thumb that assign a single expense ratio to every STR are shortcuts. A small cabin and a large downtown condo have very different cost structures. Build the budget from line items, then compare the total to a rule of thumb only as a sanity check.

Often that is the intent, but guest-facing fees are limited by what the market will bear. Track your actual cleaning cost per turnover and compare.
Is property management worth it?
It depends on your time, your distance from the property, and whether the net income still works after the fee. Model the deal both ways.

There is no single right figure. Base it on the age and condition of the roof, systems, and appliances, and the wear that guests add.
